We are looking for a Scheduling Associate who will be an appointment scheduler for Large Scale Audit Programs (LSAP) within the Environment, Health and Safety (EHS) division in our Melbourne office. This role is offered on a full time 12-month contract basis.
The Scheduling Associate is responsible for assisting in the development project schedules for various engagements, scheduling appointments, managing direct customer and client interaction as well as administration support for the project management office.
Your key responsibilities
Allocation of staff resources to maximize efficiencies
Contacting customers to schedule appointments, creating staff schedules, performing general administration functions
Managing multiple forms of client and customer services though verbal and email correspondence, managing client and customer expectations, enquiries and follow-ups in a timely-manner, and communicating with the project management team to identify key issues or insights where relevant.
- Monitoring customer and employee availability and conflicts (double-bookings and contract requirements)
Skills and attributes for success
Minimum 1 year of work experience in an administration role
Some experience in planning (resource and/or materials), with a strong process focus
- Experience in information/data analysis
- Excellent verbal and written communication skills
Ability to move between tasks and clients seamlessly
Ideally, you’ll also have
Established problem solving, communication, project and time management skills
- Intermediate MS Excel knowledge
- Understanding of professional services environment
- High level of attention to detail
- Calling experience
